Privacy Policy

Who We Are

Our website address is https://milsched.com. This site is an online scheduling platform intended for use by authorized adult members of our organization. We do not knowingly target or collect personal data from children. While the site is meant for adult use, we have no strict age verification measures in place, so minors could potentially enter data; however, minors should not use this site without appropriate supervision or permission.

When you register for an account on our site, we collect certain personal information to set up and manage your profile. The personal information we may ask you to provide includes:

Full name: Your first and last name.

Email address: Used for account login, notifications, and communication.

Work section or unit: The department or section where you work (for internal organizational use).

Contact details: Such as your mailing address and phone number, if provided or requested.

Government or official identifiers: For example, your Government Travel Card (GTC) number or Department of Defense (DoD) identification number, if your supervisors request these for official purposes.

Your information is used to manage your account, verify your identity, and facilitate communication and scheduling within the site. We value your privacy and handle your personal data in accordance with this policy.

Comments

When visitors leave comments on the site, we collect the data shown in the comments form (such as the comment text and your name or email as entered), as well as the visitor’s IP address and browser user agent string. This information helps us with spam detection and security.

An anonymized string created from your email address (called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service’s privacy policy is available on their website. After approval of your comment, your profile picture (as associated with your Gravatar, if applicable) is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images posted on the site. To protect your privacy, remove any sensitive metadata from images before uploading.

Cookies

Our site uses cookies to enhance user experience and for necessary functionality. Cookies are small text files that your browser stores. Below we outline how and why we use them:

Comment cookies: If you leave a comment on our site, you may opt-in to saving your name, email address, and website in cookies on your device. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These comment-related cookies will last for one year on your browser.

Login page cookie: If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data; it is discarded as soon as you close your browser.

Login and screen preference cookies: When you log in, we set up several cookies to save your login information and your screen display preferences. Login cookies last for two days, and screen options cookies last for one year. If you select “Remember Me” when logging in, your login status will persist for two weeks. If you log out of your account, the login cookies will be removed immediately.

Post editing cookie: If you edit or publish an article or post on this site (for those with editing rights), an additional cookie will be saved in your browser. This cookie includes no personal data; it simply indicates the post ID of the article you just edited. It expires after 1 day.

Analytics cookies: We may use cookies to gather analytics information about site traffic and usage. These analytics cookies are used solely by our site administrators for internal analysis of how the website is used. They help us improve the site’s functionality and content. No personal data from analytics cookies is shared with third parties, and we do not use any third-party advertising cookies on our site.

Embedded Content from Other Websites

Articles or pages on this site may include embedded content (for example, videos, images, or articles hosted on other websites). Embedded content from other websites behaves in the exact same way as if the visitor has visited the external website directly.

Please be aware that these external websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content. For instance, if we embed a video from another site, that site might track your viewing or interaction with the video, especially if you have an account and are logged in to that external site. We do not control the data collection practices of third-party sites, and their actions are governed by their own privacy policies.

Who We Share Your Data With

We do not sell, rent, or trade your personal information to any third-party companies or organizations for their own marketing or commercial purposes. The information you provide is used for our internal purposes and is accessible only to authorized personnel who need it to administer the site or manage user accounts (such as site administrators and, where applicable, your section supervisors).

Within our organization, your data may be shared or transferred as necessary to fulfill the purpose of the site. For example, if your role or section changes, a supervisor or administrator may transfer your membership and associated information to another section or unit on the site. This kind of internal data sharing is done to ensure that your account remains aligned with the correct organizational section and is typically done without requiring additional consent, as it is part of the normal operation of the service.

We also reserve the right to share user data for official government use or if required to comply with applicable laws and regulations. For instance, if we are obligated by law or a legal process to disclose certain data to government authorities or as part of an official investigation, we will comply with those requirements.

Aside from the above internal uses and legal obligations, we do not share your data with outside parties. Note: If you request a password reset for your account, the password reset email will include your IP address. This is a security measure and is only sent to you (the account owner) as part of the reset process.

How Long We Retain Your Data

If you leave a comment on the site, the comment and its metadata are retained indefinitely. This retention allows us to recognize and automatically approve any follow-up comments instead of holding them in a moderation queue. In other words, by keeping the past comment data, our system can more efficiently trust future comments from the same user (unless manually moderated).

For users that register on our website, we store the personal information they provide in their user profile. This user account data is kept for as long as your account remains active on the site. In general, we retain your profile information indefinitely unless you choose to delete it or request its deletion (or unless we remove it as part of site maintenance or policy enforcement). Storing this data long-term helps facilitate your ongoing use of the site without needing to re-enter information.

All users who have an account on this site can view, edit, or delete their own personal information at any time (the only exception being that you cannot change your username once set). Website administrators can also view and edit that information as needed (for example, to help update your details if you request assistance or to maintain the system).

What Rights You Have Over Your Data

If you have an account on this site, or have left comments, you have the right to control your personal data. This means you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. This allows you to see exactly what information we have on record.

You also have the right to request that we erase any personal data we hold about you. Upon your request (and provided it’s an appropriate request that complies with any applicable regulations), we will delete your personal information from our records. Do note that this erasure request does not include any data we are obliged to keep for administrative, legal, or security purposes. For example, we might need to retain certain records to comply with financial regulations, defense department policies, or to maintain site security and prevent fraud.

In addition to these rights, as noted above, if you have a user account you can log in and directly review, update, or delete the personal information in your profile at any time. You are in control of your profile data (aside from your username, which for technical reasons cannot be altered once set). If you need any assistance exercising your rights or have any questions about your data, you can contact the site administrator for help.

Where Your Data Is Sent

Visitor comments may be checked through an automated spam detection service. This means that when you post a comment, the content of your comment and certain metadata (like your IP address or user agent) might be transmitted to a third-party anti-spam service to help us filter out spam comments. These external spam detection services are in place to protect our site and its users from unwanted or malicious content.

Apart from spam filtering, we generally do not send your personal data to any external third-party services or locations, except as necessary for the operations mentioned in this policy. In cases of official legal requirements or government requests (as described above in Who We Share Your Data With), data may be sent to the requesting authority in compliance with the law. Otherwise, your data remains on our secure servers and systems as part of the normal site operations.

We are committed to keeping your data secure and within our control as much as possible. If you have any concerns about the handling or transfer of your data, feel free to reach out to us for more information.
